How to Get Clients as a Real Estate Agent Without Chasing Them All Day

A practical guide for real estate agents in Oaxaca—and almost anywhere in Mexico—on how to build trust, organize opportunities, and get clients without relying solely on referrals.

A few days ago, I wrote about how to search for a property without spending all your time on it. Then I talked about how to list a property without giving it away or letting it sit on the market.

This is the third part of the same story.

Because between the buyer and the seller, there’s always someone trying to make things happen.

And that person often finds themselves in a curious contradiction.

They may know the market inside and out, understand contracts, spot a good price in a matter of minutes, and navigate a complicated negotiation...

...but go weeks without a single new lead.

Not because they’re a bad advisor.

But because most real estate work still depends on referrals, WhatsApp groups, unexpected calls, and people who remember you exactly when they need something.

That can work for a while.

But it also means that every month you’re practically starting from scratch.

This is the method I learned while building a real estate office from the ground up, and it’s the one I’d recommend today to any agent who wants to build a more stable career.

1. Decide why you want people to remember you

Many agents try to sell absolutely everything.

Houses. Apartments. Land. Commercial properties. Warehouses. Rental properties. Sales. Auctions. Developments.

The problem isn’t doing that.

The problem is that no one remembers someone who does exactly the same thing as everyone else.

You don’t need to turn down deals outside your specialty.

You do need a simple reason why someone would recommend you.

It could be a specific area.

It could be a type of property.

It could be a client profile.

The important thing is that, when someone hears your name, they immediately think of something specific.

Not because it’s the only thing you do.

But because that’s what they come to know you by.

2. Let your profile speak for you

Most people research an agent before entrusting them with a property.

They search for your name.

They check your social media.

They try to find out what properties you handle.

They see if you seem active.

And, often, they make a decision before they even reach out to you.

Your profile should answer questions like:

  • Who are you?
  • In which areas do you work?
  • What types of properties do you handle?
  • How do you work?
  • What experience do you have?
  • How can people contact you?

You don’t need to look like a big company.

You need to look like someone who’s organized.

Because trust rarely starts with a signature.

It starts with a first impression.

3. List properties that also say something about you

Each property serves as a showcase of your work.

If the photos are poor...

If the details are inconsistent...

If the price changes depending on where you look...

...the property loses credibility.

But so does the person who listed it.

You don’t need hundreds of properties.

You need well-presented properties.

Up-to-date.

With consistent information.

Because even if someone doesn’t buy that house, they’re probably still evaluating whether they’d work with you.

4. Respond quickly. But above all, respond well.

“Send me a WhatsApp message.”

“Yeah, go ahead.”

“How much are you offering?”

These are quick responses.

But not necessarily helpful ones.

Every conversation should help the client take a step forward.

Confirm availability.

Clarify a question.

Explain a condition.

Suggest a showing.

Resolve an uncertainty.

Speed opens up conversations.

Clarity secures appointments.

And trust closes deals.

5. Don’t turn WhatsApp into your entire office

WhatsApp is great for chatting.

It’s not great for keeping track of things.

After a few weeks, it’s easy to forget:

  • who asked about which property;
  • who wanted to buy and who wanted to rent;
  • who was expecting a call;
  • who said they’d message back on Friday.

You don’t need a massive CRM to get started.

Just keep a simple record of:

  • name;
  • need;
  • budget;
  • property of interest;
  • date of last contact;
  • next step.

Your memory works great—

until you have twenty conversations going at the same time.

6. Follow Up by Adding Value

Many follow-ups sound the same.

“Are you still interested?”

And that usually elicits exactly the same response:

“No, thanks.”

Or none at all.

Every follow-up should provide new information.

A comparable property.

A price reduction.

A pending response.

An available showing.

An explanation that wasn’t there before.

That’s the difference between chasing clients and supporting them.

One insists.

The other helps.

7. Build a reputation that outlasts every transaction

Most transactions end…

…and fade away.

The client moves on with their life.

The advisor starts over from scratch.

But every transaction leaves behind something worth far more than a commission.

Experience.

Trust.

Relationships.

Lessons learned.

Recommendations.

Make that work visible.

Not to brag.

So the next person doesn’t have to guess how you work.

They can see it.

Over time, a good reputation ends up generating more opportunities than any advertising campaign.

And that’s one of the few advantages that never stops growing.

The short answer would be:

by making it easier and easier for people to trust them.

That means specializing.

Presenting yourself well.

Posting better listings.

Responding clearly.

Organizing follow-ups.

And building a reputation that doesn’t depend solely on the memories of your past clients.
